General administration
Providing administrative support at executive levels, including:
- Reviewing, responding to and preparing correspondence.
- Compiling, formatting and preparing reports and presentations.
- Coordinating meetings with internal and external stakeholders, including agenda preparation and minute taking.
- Coordinating quarterly Board of Director meetings, including preparing agendas and board packages, booking venues and catering, and taking and distributing minutes.
- Conducting research (online and publications).
- Direct support such as managing expense reports, calendars and email inboxes, booking travel etc.
Event and project management
Planning and managing events for groups of up to 450 people, from concept to execution, including:
- Venue booking, travel arrangements, menu planning, material development and distribution, registration management and troubleshooting.
Database management
- Maintenance of member, donor, sales and other databases.
Website management
- Writing text and using content management software to update client websites and produce online newsletters.
Communications and promotions
- Planning, editing, writing, producing and coordinating printing of member and donor newsletters.
- Writing publicity and write press releases for client events.
- Tracking media coverage for client and employer events and topics of interest.
Bookkeeping / budgeting
- Financial entries (AP/AR/Payroll) and monthly financial reporting for accountant review.
- Developing and maintaining accurate budgets for events.
Membership / recognition programs
Donor and member relations, including:
- Planning and executing donor and staff recognition events and programs (e.g. donor wall).
- Responding to general member inquiries for a regulatory body.
Computer systems and software proficiency
- Demonstrated aptitude for independent software skill acquisition.
- Expert knowledge of MS Office applications (Word, Excel, PowerPoint, Publisher, OneNote, Outlook).
- Expert knowledge of Mac Pages software.
- Intermediate knowledge of Google office suite, including calendar.
- Intermediate knowledge of Sage Accounting, Sharepoint content manager, Mailchimp newsletter software.
- Basic knowledge QuickBooks, Visio.
